I do fleet leasing and have several assets assigned to each fleet customer. My fleet customers have a master insurance policy that covers all the assets in the fleet. How do I ensure that all the assets in my fleet have the correct insurance information?

Q. How do I reprint a report that was previously created without rerunning the report from the menu?

A. Select the Reports icon, then the Report Utilities drop-down menu and select Print/Display a File.

Q. I am getting a message that says "Line Item Edit File Full" when I try to add line items to a lease, what do I do?

A. This message is telling you that the Line Item Edit File is full and must be cleared for you to continue. This file is an audit trail of all line items that were entered and/or reversed from your system. It contains information regarding line items entered and/or reversed since the last time the file was cleared. To print the report and clear the file start at the Reports Menu and choose "Transactions Reports". Then run the "Line Item Edit List" To clear the file answer "Y" to "Clear File". This will not clear line items currently outstanding on your leases, just the audit trail showing when they were entered and/or reversed.

Q. When I run my cycle I am getting a report that says "Your Delinquency Notice File Now Contains # Notices - Run your Notices Today" (# = a number). How do I run my Delinquency Notices and why is my file full?

A. Each time late charges are assessed on your system a file is updated indicating that a Delinquency Notice should be sent to this customer. This file contains an entry for each lease that has had a late charge assessed since the last time Delinquency Notices were run and approved. Delinquency Notices can be printed by going to the Reports Menu from the Main Menu. Select Special Forms from the Reports Menu and then select Delinquency Notices from the Special Forms Menu. Once all the Delinquency Notices have been sent to the printer the user will be prompted as to whether "All Notices Are Satisfactory". If this question is answered with a "Y" for yes the Delinquency Notice File will be cleared and ready for the next lease that is assessed a late charge. Delinquency Notices should usually be run each time you receive a report of late charges being assessed on your Late Charge Report. This report prints during your cycle processes. Please speak with your system administrator if you are unsure as to whether or not your company sends out Delinquency Notices.

Q. Can I stop Delinquency Notices from being created?

A. Yes, you can stop the system from gathering leases for Delinquency Notices. This information is gathered during your cycle processes each time a late charge is assessed. It is only gathered if you have indicated in your Company Master File that you wish to produce Delinquency Notices. To stop this information from gathering go to the Master File Maintenance menu and select the Company File. For each of the companies you want affected by this change select your Company and then select Default Information/Options tab. Select "No" next to  "Delinquency Notices".  This will stop future information from gathering. It will not clear out any information already gathered, however, to do this you must print Delinquency Notices and approve them to clear out any existing information.

Q. What is a Master Fleet Lease and how do I know if I already have one on my fleet customer?

A. Master fleet leases allow a user to assess Line Item Charges to a fleet customer as opposed to splitting charges among the individual assets on a fleet. It also allows default insurance information to be entered that will automatically be applied to all assets in the fleet. If you do not wish to have the Master Fleet Lease insurance information override the individual assets insurance information then you must choose zero (0) insurance policies for the Master Fleet Lease. To determine if you already have a Master Fleet Lease assigned to your fleet, start at the "Lease Inquiries" menu and choose "Fleet Rec. Inquiry". Enter the Fleet number and choose "Display All Leases In Fleet". A Master fleet lease will be labeled "FLT" under "Status".

A. Updating fleet insurance information can be done in one (1) step. Update the insurance information under demographics for the Master Fleet Lease and the insurance will update on all the active units in the next cycle process.

Q. How do I create a Master Fleet Lease?

A. To create a Master Fleet Lease go to the "Lease Processing" menu and select "Master Fleet Lease" then enter the requested information. When entering a Master Fleet Lease you will be prompted to assign a lease number to it, this lease number can not be reused on any other assets in the system.
